Reporting to the Director of Facilities, the Property Manager is responsible for all facilities-related work associated with St. Albans-owned houses; coordination with Athletics for capital facilities and equipment maintenance needs; oversight of grounds maintenance as provided by the PECF Grounds Team; and administrative and programmatic support for safety and security initiatives on campus.
Specifically, areas of responsibilities will include:
- Lead the property management team, comprised of external resources, including coordination with Close-wide shared services for grounds;
- Assess capital needs for St. Albans-owned houses, Athletics, and grounds;
- Develop and manage preventative maintenance and project schedules for anticipated lifecycle repairs at the houses and for Athletics;
- Complete necessary repairs, inspections, and clean-up activities for the houses and Athletics;
- Coordinate with the Athletics department to ensure grounds, facilities, and equipment are properly maintained;
- In coordination with the PECF Grounds Team, ensure maintenance and emergency service are performed timely for grounds-related work, to include athletic fields, tennis courts, landscaping, and snow removal;
- Ensure that services are delivered in a quality fashion and in a manner that prioritizes customer service;
- Develop and cultivate relationships with stakeholders, both internal and external, to ensure effective and efficient responses to regular and emergency property needs;
- Participate in the development and management of the operating and capital budgets for houses and grounds and the capital budget for Athletics;
- Create and maintain a database of contractors and vendors to engage for scheduled and emergency maintenance projects;
- Manage contractor schedules and maintenance projects, providing oversight, safety inspections, and final approval of deliverables;
- Develop, assign, and review daily, weekly, and quarterly projects for the property management team;
- Ensure that campus facilities operate in a safe and effective manner that meets the needs of various stakeholders;
- Facilitate immediate responses in the event of an emergency impacting properties, including notification of appropriate personnel and following safety protocols;
- Manage parking operations to include issuing and tracking of all parking hang tags, maintaining a database of all current tag holders, and coordinating with the PECF Police on all matters related to parking on the Close;
- Partner with the PECF Police to manage traffic flow on the Close and represent the School’s interests in presenting considerations and recommending solutions;
- Administer the door access control system, including obtaining approved schedules and establishing lines of communication to ensure that the door access schedule meets the daily needs of the community;
- Plan and execute safety and security measures for events on campus, including working in conjunction with the PECF Police and the Director of Safety and Security for large-scale events;
- Provide 24/7 on-call support for inclement weather, power outage, or similar scenarios.
The position may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
This is an essential position and is designated on-site in the case of emergency situations. On-site presence is required and housing accommodations may be provided.
For the purposes of management, performance assessment, and span of control, the Property Manager supervises one on-site contractor and works in coordination with the Facilities Team, Athletics, Occupants of St. Albans-owned houses, the PECF Grounds Team, the Director of Safety and Security, and the PECF Security Team.
Experience: A minimum of 10 years of relevant experience
Education: High School and/or Trade School Graduate
Certifications: PMP and/or OSHA 10-hour preferred
- Knowledge of property management, including contract administration, building codes, grounds maintenance (including turf), and construction materials;
- Strong customer service skills;
- Experience in management and tactical execution of safety and security-related situations;
- Experience preparing and managing budgets;
- Ability to independently plan, organize, and coordinate multiple tasks;
- Demonstrated strategic skills in short- and long-term planning and facilitation and collaboration;
